Yet the diary contains fewer first consultations than you expected. At the review meeting, somebody suggests increasing the budget; somebody else says the enquiries are poor. Before choosing an explanation, reconstruct a few complete requests. The problem often becomes more specific when you can see what happened between an expression of interest and an agreed appointment.

This review needs marketing and reception in the same conversation. Marketing can inspect the advert, page and contact events. The clinic knows what was said, which appointments were available and what became confirmed. This guide follows that journey with a fictional numerical example and a practical review process. Clinical explanations and decisions about whether a treatment is appropriate for an individual belong with the responsible practitioner.

Message
What the advert or content presents

Destination
What the page explains and asks someone to do

Response
Who receives and handles the request

Diary
Which appointment is agreed and confirmed

LTM review map. Follow the same request through all four stages.

Name the actions you are counting

A WhatsApp click, a received message and a confirmed consultation describe different actions. Begin by agreeing what each number in the report means. If someone writes on Instagram and continues the same request by phone, one enquiry has moved between channels. If a form is submitted twice because of an error, establish how the duplicate is identified. The counting rules need to be clear enough for two team members to apply them without reaching different totals.

Website events need their own check. Google Analytics allows you to mark important actions as key events; the meaning depends on the action configured. An event triggered by opening a contact channel records that step, even if a report calls it a conversion. Evidence of a received request or confirmed appointment needs a signal corresponding to that state. Review the names, trigger conditions and available records before interpreting the number as a later stage of the journey.

Add dates to the review. Yesterday’s enquiry may still be open, and an appointment this month may have been agreed last month. To study a group, choose requests initiated during a defined period and observe their progress to a cut-off date. Separate pending outcomes from journeys whose status is known. Our aesthetic clinic patient acquisition guide puts these measures within the broader journey, while allowing for people who take different amounts of time to decide.

Keep the source information you can actually identify. A measured campaign click and a call reception cannot connect to it have different attribution evidence. Retaining an unknown-source category is more useful than allocating those requests by intuition. If the report combines channels, explain how they were grouped. Use the same enquiry definition and follow-up horizon when comparing campaigns; otherwise, an apparent performance difference may begin with the counting method. Record known gaps so they remain visible when the report is presented again.

Check what the message promises and where it leads

Open the advert or post beside its destination page. Check whether they describe the same service, clinic and language, and what a first-time visitor is likely to understand. Communication inviting an initial consultation needs to explain which step the person is requesting and how it becomes arranged. If a campaign presents an offer, its conditions should be clear where the enquiry continues. Repeated questions received by reception can identify missing information or a message that invites a different interpretation.

Odyssée’s website, designed by Nightjar and featured on Awwwards, offers a visual reference beyond a conventional team photograph: translucent forms, a grey composition and an invitation to book a consultation. On the public website, “Book consultation” leads to an external booking system. That is a visible decision about the journey. When reviewing your clinic, follow changes of screen, domain and tool as well, to understand whether the next step preserves context and corresponds to the action described by the button.

Odyssée · digital project by Nightjar · Project and credits on Awwwards. The clinic’s public website shows the route towards booking.

Run an internal journey check with the team and clearly identify test messages. On the website, check form delivery, recipient and the confirmation displayed. For an external diary, establish with the clinic what each state means and how far it can be verified. An aesthetic clinic website design and development commission can include resolving those points. For Google Ads campaigns, the destination and measurement should be included in the review scope rather than left outside the discussion of results.

Give reception a process it can sustain

Identify where enquiries arrive and who reviews them at different times. A shared inbox needs a way to show what has been handled, what awaits a reply and what should be passed to somebody else. The first acknowledgement can confirm that a request arrived; somebody then needs to answer the actual question and explain how to continue. For a question about availability, reception needs current options and the confirmation process used by the clinic.

Review conversations through organisational questions: whether a response was missing, which detail was needed to continue, whether a suitable time existed and whether the next step was explained. Questions about a procedure’s suitability need the agreed clinical route. For the commercial review, work with reasons and totals without turning the marketing report into a collection of clinical records. The purpose is to identify tasks the clinic and agency can resolve within their respective responsibilities.

Neya’s identity, by M Studio, offers a reference for the presentation accompanying that contact: a black-and-white portrait, contrast and a small symbol. It sets a visual expectation. In your clinic, photographs and copy should help people recognise the team and place of care, while the response supplies the practical information they need. Well-organised production of your own material helps maintain continuity between social media, the website and the clinic’s introduction.

Neya · visual identity and signage by M Studio · 2021 · Project and credits on Behance. An external brand presentation reference.

For an open enquiry, agree how and when it is revisited within the clinic’s process. Make the owner and outstanding step visible to the team. Check that appointment confirmations carry the correct practical information and that changes have a recognisable contact route. Capacity, languages of care and staff absences need to reach the communication plan when they affect what can be offered. This allows the page, campaign and response to remain connected to the clinic’s current circumstances.

If a conversation stops after a price question, check the response before classifying the enquiry. The clinic may have approved information about the fee for a first consultation and a separate process for an individual treatment quotation. Reception needs to know what it can communicate and what requires professional assessment. A financial question may also be asking for context: which step is being booked, who will see the person and how a quotation is explained. Organising that information gives the review something more specific to examine than a label saying the person only asked about price.

Read a complete example before judging conversion

The following exercise is fictional. It assumes €600 in campaign media spend and a group of enquiries whose sources and progress have been fully identified. Every appointment in the exercise has a known outcome at the cut-off date. The amounts, volumes and percentages explain the calculation; they are not LTM results, industry averages or a projection for your clinic.

Exercise record

Count

Interpretation

Messages

60

Includes continuations of the same conversation.

Unique enquiries

40

Contacts belonging to the same request are grouped together.

About the advertised service and area

30

Ten enquiries concerned a different service or location.

Confirmed appointments

18

Twelve of the thirty enquiries did not reach confirmation.

Recorded attendance

14

Four of the eighteen confirmed appointments did not take place.

Of the twelve service-related enquiries that did not become appointments, suppose five had incompatible schedules, four received no further response from the person and three preferred to decide later. These are organisational reasons within the exercise, without judging clinical suitability. They point towards different tasks: reviewing communicated availability, checking whether the response made it possible to proceed and distinguishing a pending decision from a closed request. A larger advertising budget does not explain which of these situations would change.

Fictional exercise · €600 media spend

€15

600 ÷ 40 unique enquiries

€33.33

600 ÷ 18 confirmed appointments

€42.86

600 ÷ 14 attendances

Illustrative calculations, rounded to cents. Media only; excludes management, production and other costs. Each amount uses a different denominator.

Across all forty enquiries, eighteen confirmed appointments represent 45%. If you only consider the thirty relating to the advertised service and area, the figure is 60%. Both calculations describe the same exercise using different bases. The report therefore needs to state what it is dividing and keep the definition consistent between periods. A month with appointments still pending cannot simply be compared with one whose follow-up has already finished. Record that difference before drawing a conclusion about performance.

Turn the finding into a specific task

Once the records make sense, choose an intervention connected to what you observed and somebody who can complete it. Enquiries about an unserved location call for a review of the message and relevant settings. A repeated question about the first consultation may need an approved explanation where that decision is made. Messages failing to reach the recipient require technical and organisational work first. Record the change so the team knows what will be reviewed afterwards and what evidence to collect.

Observation

First review

Record to keep

Different service or area

Message, destination and channel settings.

Completed change and subsequent comparable enquiries.

Repeated practical questions

Page information and reception’s response.

Approved explanation and where it was published.

Incompatible availability

Advertised diary and actual alternatives.

Current hours and the person maintaining them.

Unclear appointment status

Request, confirmation and changes.

Meaning of each state and who updates it.

Avoid changing the service, message, page and counting rules all at once if you later want to interpret what happened. Prioritise urgent work and document interventions carried out together. With only a small number of cases, describe what was observed with its limitations and gather more information. The review should support a decision proportionate to the available evidence, rather than turn an isolated conversation into an apparently stable conversion rate for the whole clinic.

The appropriate check depends on the task too. Correcting a form recipient allows an internal delivery test to verify that the message arrives. Revising copy to clarify a first consultation needs observation of subsequent enquiries and the questions the team receives. Agree that check when deciding the work. The next meeting will then have a question to answer and somebody responsible for gathering the information, alongside the record of published changes. It also helps keep a completed technical fix separate from an interpretation that still needs more evidence.

Commission a review that reaches the point of contact

A first commission can finish with a journey map, measurement definitions, verified problems and prioritised improvements. Specify which changes will be implemented, what the clinic approves and how their operation will be checked afterwards. The clinic provides availability and enquiry states; the agency reviews messaging, content, website and measurement within the agreed scope. To compare providers, our guide to choosing an aesthetic clinic marketing agency explains how to request those deliverables in a proposal.

Lead The Mood can coordinate this work through its aesthetic clinic marketing service. Send us the website and describe where the journey stops: undelivered requests, repeated questions or appointments that never become confirmed.
